Basic policy on the protection of personal information

PR Consulting Dentsu Inc. (hereinafter referred to as "the Company/we/us/our") is a company specializing in public relations that carries out communication-related activities for clients such as companies and organizations to build mutual understanding and trust with society and promote good relationships. With the business domain changing drastically due to social demands and the evolution of communication technology, and business domains involving the handling of personal information expanding, we believe the balance between the utilization and protection of such information is in line with the Dentsu Group's corporate philosophy of "Good Innovation" along with the mindset of our company’s corporate philosophy: "PR Consulting Dentsu will form social agreements with our reputation management capabilities and, together with our clients, we will contribute to the realization of social innovation that creates new social values and mechanisms."
We have established our "Basic Policy on the Protection of Personal Information" and declare to properly manage and protect personal information in accordance with the "Act on the Protection of Personal Information" and the "Guidelines for the Economic and Industrial Sector on the Act on the Protection of Personal Information."
1. Handling of personal information
(1) Purpose of use
We will acquire personal information by fair and appropriate means and use it within the scope shown in [Table 1] "Purpose of use".
Personal information of types other than those shown in [Table 1] "Types of personal information" will be used after individually notifying or disclosing the purpose of use, or after obtaining the consent of the individual in advance.
(2) Management of trustees
As shown in [Table 1] and [Table 2] "Entrustment" and "Description of operations that involve entrustment", we outsource some work involving personal information to external business operators. We give top priority to the management of external business operators, and when outsourcing work, we select business operators that are deemed to sufficiently ensure the protection of personal information, and clarify the obligations considered necessary by contract etc.
In addition, we request outsourced business operators to handle personal information appropriately, and regularly supervise and conduct audits necessary for its safe management.
(3) Provision to third parties
As a general rule, we do not disclose or provide personal information to third parties. If the need for disclosure or provision arises, we will do so appropriately in accordance with the law.
(4) Shared use
We may share personal information when holding seminars jointly held with group companies and business partners. In such cases, we will clarify the purpose of use, data items, scope of users and responsible persons in advance, and notify or announce the decision.
In addition, we will thoroughly manage safety among shared users.
(5) Disclosure and inquiries
For requests or inquiries regarding the source or acquisition method of personal information that the Company acquires as shown in [Table 1], please contact the staff in charge who was entrusted with your information or the General Affairs and Public Relations Department of the Management Promotion Office of our company. We will inform you about the application procedure and fees. When responding to a request, we will confirm that you are the person concerned or his/her proxy.
2. Compliance with laws and regulations
We will strictly comply with relevant laws and regulations, contracts, and other standards regarding the protection of personal information.
3. Security control measures
We take security control measures for personal information by maintaining and improving the system for the protection of personal information, educating and enlightening employees, managing the entrance and exit of company buildings, implementing information security measures, and work to prevent leakage of such information. In addition, personal information that will not be retained is securely discarded or deleted appropriately.
4. Continuous improvement
In order to maintain the appropriate level of the handling and protection of personal information in light of demands from business partners and changes in social conditions, we will continuously review and improve the personal information protection management system and this policy.
